Reporting to: Executive Assistant to CEO

Hours: Full time, 40 hours per week (open to 4 days per week)

Normal working hours are Monday-Friday 0900-1800, with 1 hour for lunch.

Work outside of these hours is likely to be required in certain circumstances.

Contract: Full Time (open to 4 days per week)

Salary: £20,000

Location: The offices of The House of St Barnabas, 1 Greek Street, W1D 4NQ

The House of St Barnabas (HoSB) is a charity pledging to break the cycle of homelessness. We run a not-for-profit members’ club in our Grade I listed home on Soho Square to help London’s homeless back into lasting paid work. We are seeking to re-define the notion of a members’ club, challenging stereotypes around ideas of exclusivity and creating a community united by a passion for social change.

Academy participants and graduates are at the heart of all we do. The journey for trainees starts with a 12-week Employment Programme offering onsite work experience and training throughout the club and charity offices, and continues with 12 months of mentoring and ongoing support from our Academy team.

We are looking for a special individual to join us who is excited to play a part in people’s journey towards lasting paid employment and independence.

Job Description

In this role you will be the first point of call both internally and externally for the CEO’s office, ensuring excellent levels of communication at all times.


  • Manage and maintain CEO’s schedule, appointments, travel arrangements and coordinate meetings, conferences and events.
  • Administrate organisational governance including
  • preparation of Board and Committee meeting papers
  • taking minutes
  • Board of Trustee support
  • Support the HR function, including
  • recruitment and retention of staff
  • administration of the annual appraisal day
  • drafting and maintaining online and paper HR records for HoSB
  • administration of the training schedule for the team
  • Answer and manage incoming calls for CEO’s office.
  • Monitor emails and respond if required, bringing urgent communications to the attention of the CEO and forwarding to Senior Leadership Team as necessary.
  • Prepare and edit correspondence, communications, presentations and other documents.
  • Receive and interact with incoming visitors for CEO.
  • Manage guest lists for high-level events for the charity, working closely with Events Team.
  • File and retrieve documents and reference materials.

Person Specification

  • Outstanding relationship management skills.
  • Able to work at the highest level of confidentiality.
  • Highly efficient, organised with a great deal of attention to detail.
  • Excellent communicator with keen judgment and decision-making abilities.
  • Willingness to be flexible and to support the team where necessary.
  • Event management skills would be desirable.
  • Natural empathy for an understanding of HR requirements for a small organisation.
  • A strong multi-tasker and able to take on a wide range of activities.
  • Excellent grasp of Windows packages.
