Hours: ~16 hours per week – to be agreed/negotiated with applicant

Work Pattern: To be agreed with applicant

Work base: St. Mark’s Church, Clerkenwell

Note: this role is subject to an enhanced DBS disclosure. This role should not be taken up until the candidate has successfully completed the DBS process.

Purpose of appointment

  • To provide sustainable, dependable administrative support for the PCC throughout the year
  • To reduce dependence of the PCC on key volunteer individuals and minimize transition risks

People links

  • To be directly responsible on a day-to-day basis to the Vicar
  • To work closely with the Church Wardens, Treasurer, and other members of the church staff to carry out responsibilities
  • To deal with suppliers, contractors, and other external organisations on behalf of the PCC to carry out effective administration of the church

  Main responsibilities Financial

  • Send invoices on behalf of PCC for use of church facilities and other services
  • Check and record payments have been made against invoices; follow up with
  • Maintain accounting records as directed by Treasurer
  • Post accounting records to PCC accounting system as directed by Treasurer
  • Assist in banking as part of rota
  • Manage Annual Return and ensure all other appropriate returns are made to the Registrar/Diocesan Office as required, liaising with church officers as required

Scheduling

  • Maintain/monitor PCC calendar (online and physical)
  • Handle bookings for the PCC
  • Manage key rotas (e.g., readings, banking, flowers, shops, building opening)

Administrative

  • Answer telephone (while on premises)
  • Deal with enquiries relating to parish duties (e.g., baptisms, weddings, funerals, lettings)
  • Maintain and update noticeboards inside and outside the church
  • Maintain church log and inventory
  • Maintain and keep website up to date
  • Monitor social media
  • Order stationery
  • Prepare memorial cards

Fund-raising, publicity and events

  • Seek and apply for grants as requested by the PCC
  • Produce and help to distribute publicity materials
  • Prepare and update table leaflets
  • Order materials/consumables (e.g., wine/food) for events

Building-related

  • Opening up of building (as part of rota)
  • Read gas and electricity meters quarterly
  • Hold keys and administer access to the building
  • Receive and arrange all regular building services (gutters, organ tuning, inspectors, etc.)
  • Arrange repairs as directed by Church Wardens
  • Apply for church faculties as required

General

  • Establish and document procedures and tasks for parish administration to facilitate onboarding of new joiners and transitions of role

Key Terms and Conditions

  • Salary will be at London living wage as set out by the Living Wage Foundation, currently £9.15 per hour, paid monthly in arrears by direct bank transfer
  • Annual leave entitlement is 60 hours (4 working weeks) per year plus statutory Bank Holidays: any leave to be arranged at least one month in advance with Vicar bearing in mind the requirements of major church festivals; all leave to be taken within the calendar year it falls within
  • Notice requirement of 1 month (from either side) after an initial probationary period of 3 months
