Projects Coordinator, SSO Projects & Operational Excellence, 12 month FTC - Open to flexibility

Role description

The Projects and Operational Excellence team within the Shared Services Organisation (SSO) requires coordination and project management office (PMO) type support to deliver its wide range of project, process improvement and change management activities across the organisation.

The Projects and Operational Excellence team is based in Milton Keynes and Cardiff. The SSO is currently predominantly based in Milton Keynes, UK and Hyderabad, India with UK staff also based in London and Cardiff. It operates a range of back office support processes, including Finance and HR transactional processes, internal Tax, Pensions administration, and provides Service Desk support for the UK and Swiss Firms comprising 16,000 Partners and staff across 24 UK and 5 Swiss offices.

Responsibilities

Support Project Managers with the creation, maintenance, monitoring of and reporting against the full suite of project management documentation, including:

  • Project and workstream plans

  • Process maps

  • Actions, Risks and Issues Logs

  • Decision Logs

  • Progress reports and project dashboards

  • Finance updates (costs vs budgets)

  • Run regular reviews of project documentation with project managers to ensure standards are maintained and agreed approaches adhered to

  • Organisation and administration of programme and project boards and meetings (scheduling, circulation of actions, decisions, etc.)

  • Stakeholder liaison activities both within SSO and more broadly within the wider firm 

  • Coordination of cross-SSO project reporting

  • Maintenance of the SSO Service Catalogue and Org Charts

  • Continuous Service Improvement (CSI) activities:  maintenance of dashboard, training registers, training decks, course admin, planning meetings and actions 

  • Projects & OpEx team meetings, team day and teambuilding activities administration

  • Support project closure activities, e.g. Lessons Learned, documentation archiving

  • Support SSO Business Continuity Planning

  • Responding to information requests on SSO activities from the business

  • Miscellaneous team support activities

Requirements

  • An effective organiser, with a methodical, orderly approach and excellent attention to detail

  • A confident self-starter who is happy working independently and shows initiative  

  • Can manage concurrent activities and balance conflicting priorities

  • Takes responsibility for the quality of their outputs

  • Confident and credible in engaging and building effective relationships with stakeholders at all levels of the organisation

  • Is able to chase and challenge stakeholders sensitively

  • Good verbal and written communication skills

  • Encourages a culture of innovation and new ideas

  • Ability to operate effectively in a “virtual” team working environment

  • Excellent MS Office skills

  • Experience or knowledge of standard project management methodology and activities preferred

  • Experience or knowledge of Lean thinking and process improvement techniques preferred (SSO Yellow Belt certification will be advantageous)
