Administrative Assistant (Environment, Health & Safety) - 1 year FTC, Open to flexible working
We are seeking a motivated individual to join GSK as an Exec Admin to support 2 VPs (and their respective teams) within the Environment, Health & Safety (EHS) function at our flagship R&D site at Stevenage or West London.
This is a fantastic opportunity to utilise your administrative skills and experience, as well as develop your expertise, within a world leading pharmaceutical company at a particularly challenging and exciting time (particularly in relation to GSK's day-to-day response to the COVID-19 pandemic).
Working directly into 2 VPs within GSK's EHS Function, you will provide comprehensive administrative support and be part of a team of approximately 100 people and contacts across the whole global business
Your primary responsibilities / deliverables will include the following:
- Monitor manager's electronic mail, sort as appropriate flagging important issues as required
- Strong calendar/diary management for VPs in particular and some leadership team as required (to ensure time is used effectively and proactively)
- Coordinate travel arrangements for managers and departmental staff
- Organise technical meetings and conferences (internal and external)
- Set up and maintain team sites, as well as update distribution lists and other IT systems as required
- Process expenses and manage accruals process for VP(s)
- Maintain staff records (using iTAG)
- Assist with recruitment packages and new starters inductions
- Order stationery/equipment for department
- Format & archive documents and communications
- Maintain organisational charts and distribution lists
- Distribute department notices to appropriate personnel
- Assist with queries
- Undertakes independent project work
- Arrange Pos and payments and invoices through CERPS/GEMS
- Provide advice for managing purchase orders and invoices to departmental staff
PLEASE NOTE - This is a circa 1-year secondment / Fixed Term Contract (FTC) opportunity.
This role would suit a self-motivated individual who has strong experience of working in an administrative role within a cross-functional, R&D facility. You will be resilient and calm under pressure, with strong people skills and a proven ability to influence people to achieve objectives and drive performance. You will be a team-player, be approachable, have a strong continuous improvement mindset, and have demonstrable organisational skills. Experience and competence in the use of database (including Excel and Access) and confidence with the use of PowerPoint are important skills. Focus on complex diary-management, prioritization and accurate data inputting (and maintenance) are also considered very important skills.
About Stevenage R&D Site:
GSK's Medicines Research Centre at Stevenage is a major R&D facility for the company, acting as a center of excellence for research into Respiratory, Inflammation and Respiratory conditions. It has also been designated a satellite site for the company's research into Neurology / Cardio-Vascular diseases. The site employs over 3,000 people and is at the heart of GSK's global efforts to develop new medicines.

- Relevant administration experience / qualifications (eg; supporting senior managers).
- Operational knowledge and understanding of R&D / product development associated with a dosage form.
- Experience working in a cGMP aligned pharmaceutical environment.
