Office Manager - F/T Open to 4 days per week

We have an exciting role for an Office Manager, who will become part of our leadership team and become instrumental in the future development of our business. You will be energetic, positive, super organised, and be hugely flexible!

Tasks will involve:

  • Reception duties, including answering incoming calls and scheduling appointments
  • Answers general emails and postal correspondence with clients / candidates and suppliers
  • Coordinating and managing the day to day activities in the office, providing administration support to Directors including diary management, organising and attending meetings, dealing with correspondence
  • Overall responsibility of expenses and invoices
  • Creates budgets and orders office supplies
  • Files and archives accurate records
  • Negotiates and manage office supplier contracts
  • Monitors training material and confirms it's all up to date
  • Arranges travel and accommodation plans for executives when required
  • Organises and audits the company's systems, databases, and procedures
  • Prepares weekly and monthly reports for the directors
  • Provides administrative support for the directors as needed
  • May take care of payroll procedures and Hr matters
  • Manage part time admin colleague
  • Running reports and forecasting
  • Helping preparing client pitches / contracts
  • Developing web and social media presence and content in line with the company brand

To be considered this role:

  • A career history demonstrating experience in a similar role ideally from a recruitment agency background or pharma or biotech company or sales company
  • Digital media and marketing experience
  • Strong IT skills including Microsoft Office; Excel; Power point
  • Good administration skills including; diary management, data handling, and the ability to draft high quality reports and letters
  • Excellent organisational and time management skills are essential along with an exemplary attention to detail
  • Drive and ambition with a proactive “can do” attitude
  • Good communication skills both written and verbal, with well-developed interpersonal and customer service skills.
  • The ability to work in a confidential manner at all times
  • A good standard of education, a graduate in Business Studies, marketing or Finance is desirable

This is a 4-5 day role, temporary contract that will become permanent for the right person. Company working hours are 8.30am-6pm. Working Monday to Friday 40 hours per week on a salary of £20,000 - £25,000 per annum depending on experience plus annual bonus. You must be able to work Fridays and come to the office.
