Finance Officer - Part-time 2 days per week

Reports to: Finance Manager

Key relationships: Finance Manager, Executive Director, NYO Staff Team, Parents, Suppliers

Principal areas of responsibility

  1. To maintain an accurate and retrievable financial and administration filing system
  2. To bank all incoming receipts on a weekly basis and process through Sage
  3. Log purchase invoices and processing weekly batch supplier payments
  4. Processing staff expense claims & cheque payments for Musicians’ travel expenses
  5. Processing monthly credit card transactions in Sage, and creating monthly Excel summaries
  6. Providing weekly bank statements to the Development team
  7. To provide budget holders with reports showing actuals from Sage
  8. Ensuring compliance with Companies House & Charity Commission
  9. Weekly Sage Backup
  10. Post concert settlements invoicing, queries and journals.
  11. Quarterly download of expenditure actuals
  12. Petty cash checking and posting
  13. Posting ad-hoc transactions from bank statements
  14. To investigate and resolve any financial queries that may arise from time to time both internally and externally
  15. Taking responsibility for managing annual fees for musicians; logging payment & bursary forms; setting up invoices; processing Direct Debits; checking on line payments and chasing debts
  16. Processing monthly Direct Debit collection of Fundraised Income & any associated queries.
  17. To assist the Finance Manager in the preparation of NYO year end financial statements & Annual Report
  18. Any other duties as reasonably requested by the Finance Manager and Executive Director

Selection criteria

This position offers an opportunity to make a valuable contribution to a significant national organisation known for its excellence, innovation and power to inspire. Within this role you will work closely with the Finance Manager to deliver excellent Finance support in an arts organisation.

The successful candidate must demonstrate

  • Bookkeeping experience with a thorough understanding of double entry
  • Strong IT skills and experience of Sage Line 50 Accounting Software, Excel spreadsheets – including formulas, Microsoft Word, including mail merge
  • A keen eye for detail and accuracy
  • Excellent interpersonal & communication skills
  • Willingness and ability to work as part of a team
  • Good organisation and the ability to manage workload, take initiative, prioritise and meet deadlines
