What impact will you make? The Opportunity

An opportunity has arisen in our Real Estate Tax team for a Senior Secretary who wishes to work in a high energy professional services firm. 

Role description

This role will be supporting 1 Partner, as well as a busy team from Director to Manager.

Hours

09:30 – 17:30 Monday and Friday (Job share works Tues – Thurs)

Responsibilities

  • Provide highly professional support for the partner and team
  • Organisation of extensive meetings, lunches, dinners, etc.
  • Global travel arrangements for members of the team
  • Inputting timesheets and expenses for partners
  • Telephone liaison and message taking
  • Maintain contacts system on Outlook and SMARTnet at regular intervals
  • Coordinating signing, filing, photocopying and mail distribution
  • Research using firm’s databases
  • Working as part of the Real Estate Tax secretarial team
  • Providing cover for and assistance to other secretaries as required
  • Establish a rapport with very senior level clients, partners and staff
  • Produce high quality PowerPoint presentations where necessary
  • Ability to format high level complex documents in Word
  • Agenda production and meeting preparation where necessary
  • Using knowledge of business to support partners
  • Building and maintaining relationships with overseas contacts – both internal and external
  • Using a sound knowledge of the Business and partner client group/peer group to provide day to day senior level support
  • Liaise with external contacts/client groups on behalf of partner
  • Ad hoc tasks for partners and team when required

Requirements

  • Accurate typing (60 – 70 wpm)
  • Advanced IT skills to include MS Word, Excel and Power Point essential
  • Excellent written and oral communications skills
  • Proficient in use of email, calendar and internet
  • Significant experience supporting staff at a high level
  • Ability to use own initiative and work autonomously as well as part of a team
  • Must have an adaptable, keen and flexible approach; some out of hours assistance will be required and therefore the successful candidate must be reliable, punctual and attentive to support this very busy team
  • Excellent organisational skills
  • Ability to prioritise a very heavy workload and work effectively under pressure
  • Professional telephone manner
  • Diplomatic, discreet, polite and patient
  • Strong interpersonal skills, ability to build and maintain relationships with senior executives, clients and suppliers
  • Attention to detail and willingness to see tasks through to the end
  • Constantly exercise confidentiality, discretion and personal  sensitivity in all aspects of the role
