Job Title:    HR Administrator
Reports to: HR Officer
Contract:    2.5 days per week
Campus:    London and Surrey Campus as required
Position:     Key role within the Human resources department

General Job Purpose
To provide HR Admin support on a daily basis and contribute to the long term development of the HR function. The HR Administrator supports the HR Officer and the Principals in providing a comprehensive HR service to all managers and staff within ISL UK Schools.

We are looking for someone to work 20 hours per week across both our UK Schools. We will require the successful candidate to travel to Woking, Surrey at least once a week to complete administrative tasks there but the majority of the hours will be spent at our London school based in Chiswick. We can be flexible about how the hours are spread over the week.

Job Responsibilities:

•Assist the HR Officer with the development of HR procedures and policies
•Contribute to HR projects e.g. support HR Officer with contract audit or developing the HRIS

•Manage the administration of the recruitment process
•Manage and update of HR information systems and maintain accurate staff records

•Advertise vacancies
•Communicate with agencies & candidates
•Organise interviews
•Take up references
•Send offers or rejection letters
•Issue contracts or contractual change letters
•Liaise with IT re: starters and leavers
•Administer the probationary review periods and ensure all reviews are completed on time

Single Central Register Management and Safeguarding log
•Liaise with DCPO
•Manage and update SCR
•Complete DBS check in a timely and effective manner
•Complete all other checks required e.g. barred list, prohibition and references
•Maintain accurate safeguarding logbooks
•Liaise with Educare to set up staff training accounts
•Issue new employees with safeguarding documents to read and sign

HR Administration
•Manage and update both digital and hardcopies of confidential employee files
•Manage and update digital and hardcopies of employee training files
•Absence and Holiday recording - Oversee staff attendance and leave requests and ensure these are recorded on the  school information management system
•Send HR related letters/ information to colleagues as required
•File paperwork in employees files

General HR
•Assist in the development of human resource procedures, policies and HRIS
•Advise staff regarding personnel, benefits, and pay issues
•Advise candidates and employees on rules, policies, benefits, procedures and job opportunities

•Responsible for administration of the staff hand book/Employment Handbook and update the website or shared drive

Skills and Specifications
•Knowledge of ISL, operating procedures, and policies of the human resource department
•Knowledge of office procedures and processes
•Expert knowledge of relevant office applications e.g. Powerpoint, Excel, Word
•Ability to communicate clearly and effectively
•Ability to research, evaluate and analyze new recruitment techniques, methods, and procedures
•Able to work alone on a broad variety of projects.
•Able to exercise effective judgment, sensitivity, creativity to changing needs and situations
•Able to establish and maintain healthy working relationships with people in the work place

Education and Qualifications
•Preferably a Bachelor’s degree in Human Resources or similar subject
•Grade C or above in Maths and English GCSE
•CIPD qualified or working towards qualification desirable
•2 years relevant experience in HR
