Consumer Healthcare have a new role for a Trade Mark Formalities Specialist on a full-time permanent basis.

As the Trade Mark Formalities Specialist you will be part of a team of IP specialists and the role will have responsibility for providing global formalities support to maintain Consumer Healthcare’s trade marks portfolio.  Your work will require close liaison with the trade marks Brand Team as well as global business marketing teams, for example in establishing use of brands and seeking other supporting information for maintenance, renewal and recordal processes. You will also be in regular contact with our global network of external counsel.

Key Responsibilities

This role will provide YOU the opportunity to lead key activities to progress YOUR career.  These responsibilities include some of the following:

Database (Anaqua):

  • Have knowledge and experience of trade mark databases (ideally Anaqua although training will be given)
  • Docket incoming data from external counsel into Anaqua in accordance with standard procedures and update where required
  • Process registration certificates and other legal documents into Anaqua and archive records storage

Trade Mark Practice:

  • Prepare all formal documentation necessary to meet legal requirements (eg. Specific Powers of Attorney and Assignments), including arranging for notarisation/legalisation as appropriate to manage trade mark rights
  • Assist with ownership recordals and queries
  • Assist with the trade mark renewals process and manage renewals on an annual basis

Domain Names:

  • Review domain name requests from the business, forwarding to the relevant Trade Mark Attorney and monitoring the review and approval process
  • Liaising with domain names external provider
  • Requesting registration of domains on behalf of the business
  • Updating Anaqua with domain name information
  • Monitor and process correspondence and requests from the domains support mailbox

General Administration:

  • Monitor and manage the Intellectual Property Office deposit accounts
  • Working with the IP Operations team and Brand Team to resolve database or procedural issues and discrepancies within a broad range, escalating as appropriate
  • Prepare Corporate, Specific and General Powers of Attorney and monitor expiry dates and renewing Powers
  • Save correspondence to the document management system
  • Resolve invoicing queries 
  • Monitor and process correspondence in the trade marks shared mailbox
  • Have regular interactions with the IP Operations team, making recommendations for continuous improvement to processes thus ensuring consistency in trade mark practices
  • Contact External counsel and registries/IP offices on simple requests for information or status updates
  • Follow internal processes and procedures
  • Other general formality related activities

Why you? 

What are we looking for?

  • Experience in maintaining a trade mark database, managing worldwide trade mark renewals and recordals processes, working with external counsel and trade mark offices and handling related queries. Having a good working knowledge of trade mark formalities is essential.
  • Qualifications in trade mark formalities practice a plus e.g. CITMA Administrators Certificate
  • A Levels or equivalent
  • Ability to prioritise a complex workload with conflicting deadlines
  • Ability to be able to work independently and as part of a team
  • Confidence to ask to questions/seek further guidance when needed
  • Positive and enthusiastic outlook
  • Experience managing small projects would be beneficial
