We work with over 25 primary schools every year on a range of programmes to boost students’ literacy, numeracy, financial literacy and general knowledge of the world of work. We therefore work with thousands of students and business volunteers over the course of each academic year.

We are looking for an experienced administrator to coordinate various elements of these projects, to ensure timely delivery of our activities and that they follow our safeguarding guidelines.

We are looking for an experienced administrator on a part-time basis. We would consider anywhere from 20 to 25 hours a week, and this could be spread over the week in a pattern that suits the job holder, eg 5 hours a day for 4 days, or 7 hours a day for 3 days. We would also consider term-time only working. The role would require a minimum of 2 days in our office (near Liverpool Street) and other days could be working from home.

Key responsibilities:

Administering Writing Partners:

  • Scheduling volunteer training and registering bookings
  • Coordinating the letter exchange on a weekly basis between schools and businesses. This includes tracking the dates that letters are due to be sent, dealing with delays, and chasing missing letters.
  • Undertaking any reading of the letters for safeguarding purposes where required.
  • Entering participant data into our CRM database accurately and in a timely fashion.

Administering Reading and Numbers Partner Schemes, BEE and Mentoring:

  • Scheduling volunteer training and registering bookings
  • Ordering materials and assembling packs of resources
  • Entering participant data into our CRM database accurately and in a timely fashion.
  • Typing up pupil and volunteer surveys
  • Coordinating breakout rooms in Zoom for mentoring live video call sessions

Additional Duties

  • Effective and accurate use of the CRM database to support Project Managers in report writing 
  • Organise one-off and bespoke school trips and office visits, including risk assessment and travel booking as needed 
  • Support colleagues and other teams as and when directed by line manager.
  • Adhere to The Switch’s staff handbook procedures and participate in the annual appraisal system of staff development.
  • Be aware of the need for self-development in line with The Switch’s business priorities, and to liaise with line manager to explore ways in which these needs can be best met.
  • Contribute to general office responsibilities such as ensuring a clean and safe working environment and answering the switchboard when necessary.
  • Contribute to the overall strategy of The Switch. 

Reports to:

The post holder will be line managed by the Primary Schools Senior Project Manager with input and support, where appropriate, by other staff.

Skills and Experience


  • A minimum of 2 years’ experience administering or coordinating large scale programmes/activities with multiple stakeholders.
  • Highly IT literate with experience of Word, Excel, PowerPoint, Outlook and Zoom. Experience in database entry, preferably Dynamics365.
  • Highly literate and able to communicate professionally with business people, especially by email
  • Customer care skills: Excellent people skills with the confidence to respond to positive or negative feedback from young people, volunteers, and businesses/employers in a professional and diplomatic manner.
  • Thorough: Displays an attention to detail especially in tasks involving monitoring and tracking
  • Organised: A self-starter who is motivated and comfortable setting their own pace of work and managing their deadlines with only some supervision. They should be able to administer several projects at the same time.
  • Punctuality, timeliness, and reliability.
  • An understanding of, and commitment to, equal opportunities An enhanced DBS clearance. This can be undertaken as soon as the person is in post.


  • Experience with primary aged children.
  • Experience communicating with community organisations or schools.
  • Experience communicating with business people or large corporate organisations.
  • Experience identifying and responding to Safeguarding concerns about children.
  • Experience producing classroom resources for primary schools.
  • An understanding of corporate social responsibility.
