Finance Manager , Part time 22.5 hours/wk

Reports to: CEO

Role Overview/Purpose/Objectives

Working Families is now seeking a Finance Manager. This is a new role that aims to consolidate, develop and lead the charity’s financial management.

Key Responsibilities 

  • To run the day-to-day book-keeping function for Working Families, keeping accurate records of daily income and expenditure, updating computerised systems and accounting software (Xero) for both the charity and its trading subsidiary
  • Managing the purchase ledger on Xero including processing of invoices, dealing with invoice queries
  • Making payments for services/products received, posting details of payments along with budget codes on Xero and filing all paperwork
  • To process cash receipts, cheques and other deposits, preparing appropriate documentation for and carrying out banking transactions and bank reconciliations
  • To run the monthly company payroll from information provided by the CEO, preparing monthly and annual HM Revenue and Customs returns and liaising with HMRC where necessary to ensure fulfilment of statutory responsibility
  • To ensure correct treatment of employees/freelancers reflecting correct taxation and with the CEO, oversee employee pension auto-enrolment, contributions and payments, administer maternity, sickness and other schemes according to company and statutory policy
  • To update and review the cashflow on a monthly basis
  • To reconcile with bank statements on a monthly basis, preparing and inputting monthly journals
  • To prepare the quarterly VAT return, dealing with HM Revenue and Customs on all VAT issues and inspections, and keeping up to date with VAT legislation
  • With the Commercial Director, checking and chasing aged debtors on a monthly basis
  • Maintaining all nominal codes and ensuring all staff are kept up to date with code changes
  • Maintaining and reconciling unrestricted and restricted income according to donation records and company policy
  • Maintaining filing systems and the statutory finance archive
  • To support the CEO and Commercial Director in the overall financial management and growth of the organisation, preparing and presenting the finance report for bi monthly trustee meetings (six times a year)
  • To take the lead on overseeing all financial controls, keeping up to date with all finance and payroll legislation and ensuring that any updates are applied to current practice
  • To ensure accurate and timely execution of year-end procedures, assisting the accountancy firm in requirements for the annual audit and preparation of accounts, working with the auditors to achieve and deliver the required SORPs
  • Carrying out all necessary maintenance of the Fixed Asset register (negligible) 
  • Working with the CEO and Commercial Director to prepare and deliver the business plan and accompanying cashflow report; incorporating income and expenditure from all departments within the charity and trading arm 
  • To take the lead on providing full cost recovery analysis on all projects and departments within the charity, including providing support for funding bids.

Person Specification

Essential skills, attributes and experience:

  • Proven track record as a successful finance professional, with demonstrable experience of management accounts, Charities SORP, VAT Accounting, cashflow and year end accounts
  • AAT-level qualification, or at least three years finance experience
  • Experience of working independently to oversee the financial practices for an organisation
  • Substantial experience of working on operational budgets
  • Demonstrable skills in risk analysis and forecasting
  • Strong communication skills, with the ability to identify and deliver innovative and effective ways of communicating financial information
  • Comfortable at dealing with stakeholders at Board level
  • Experience of providing strategic financial advice to senior managers
  • Experience with development or implementation of finance systems, sending/receiving invoices, cash handling
  • Working knowledge of statutory payroll
  • Exceptional organisational and administrative skills
  • Excellent attention to detail
  • Disciplined and self-motivated
  • Fully IT competent, in particular Microsoft Office and Xero (or similar)
  • Ability to work within a small, multi-disciplinary team

Desirable skills, attributes and experience:

  • Experience of strategic and business planning and leading financial processes • Interest in the work of the charity 

Key Terms of Employment 

  • This is a permanent, part-time contract (0.6 FTE), subject to a six-month probationary period. After the probationary period, the notice period is two months.
  • Salary: £48k per annum, pro rata (0.6 FTE)
  • Holiday: 25 days (pro rata) per annum excluding statutory holidays
  • The basic working week is 22.5 hours (3 days equivalent) per week. General office hours are 9am to 6pm Mon-Fri. For this role we are open to discussion about the pattern and times of daily hours, but it is requested that the Finance Manager works from the office on at least 1 day a week and occasionally more frequently. 
  • There are no overtime payments
