Part-time Human Resources Assistant - 3 days/wk

The Sainsbury Family Charitable Trusts are a group of sixteen grant-making charitable trusts managed through a joint office employing around 90 staff.

An HR Assistant is sought to support the HR Adviser. The role will have responsibility for supporting the HR processes across the trusts and companies, as well as general organisational related duties.  Outside the formal line management structure, establishing an effective working rapport with Trust Executives and department heads is vital to the success of the role.

Key responsibilities and accountabilities

HR administration

  • Ensure maintenance of electronic and paper HR files and their security.
  • Ensure personnel details are added to payroll database and to the HR database, and that information is accurate and complete.
  • Liaise closely with the HR Adviser to ensure that administration is complete, eg new starters, changes in employment, leavers, forwarding pension information to our benefits adviser.
  • Provide administrative support to recruitment campaigns.
  • Assist with pre-employment checks and administration.
  • Assist with administration of a rolling training programme and new initiatives such as mental health training.
  • Provide support with ad hoc projects, eg new Staff Handbook, office-wide issuing of new contracts.

Advice and support

  • Support the HR Adviser on organisational change projects including the development of a new HR and payroll system and other ad hoc projects as required.
  • Assist the HR Adviser in providing on-going advice, guidance and support to office staff, including the development of policies and procedures as appropriate.
  • Responding to queries related to annual leave and sickness absence.
  • Meet with the HR Adviser on a regular basis to ensure the office needs are being met in the most effective manner.
  • Collaborate effectively to provide support and advice on technical areas.

Other matters

  • Participate periodically in office-wide projects as required.
  • Foster an ethic of transparency in all aspects of work.
  • Undertake any other reasonable duties, as determined by management.
