Finance and Governance Manager, Part time 3 days a week

We are looking for a Finance and Governance Manager with experience of the charity sector to take the lead role on managing our charity’s finances and support the Director and the board of Trustees develop an exciting future for English PEN in the lead up to its centenary in 2021.

You will work closely with our small dynamic team supporting them to develop and manage project budgets and with the Director on business planning.  You lead work on the annual audit and accounts and be familiar with providing and presenting management accounts, managing payroll and pensions, claiming gift aid and managing payments.

You will understand the finance and governance of running a small to medium sized charity, demonstrate outstanding attention to detail and be flexible and able to manage competing priorities.  You will be sympathetic to our work defending the right to freedom of expression and championing the most exciting new literature in the UK and internationally.


  • All aspects of financial management, payroll, providing information for Board and staff, liaising with the Treasurer and auditors, flagging up any key issues to the Director
  • Coordinating and supporting Board, Annual General Meeting and governance requirements, including fulfilling the duties of Company Secretary
  • Leading on the development of internal policies and procedures to ensure compliance with legal requirements and best practice.


Finance (85%)

  • Work with the Director and Staff to prepare business plan, annual budgets and forecasts as required to meet the needs of the Board and other Stakeholders (including funders)
  • Assist staff in the preparation of budgets; prepare reports allowing staff to control and report on financial aspects of their areas of responsibility
  • Prepare invoices for customers/clients, process supplier invoices, cash and banking transactions, including HSBC online banking, payroll and PAYE
  • Deal with English PEN’s bankers, HMRC, Companies House, the Charity Commissioners and other relevant bodies
  • Maintain Quickbooks Online accounting system, monitor cash flow, process all financial information and prepare regular management accounts for the Board, staff and other stakeholders as required
  • Prepare annual accounts for filing at Companies House and the Charity Commissioners, organise the annual audit and liaise with auditors
  • Work with staff on development and costing of English PEN’s products and resources
  • Support the Director in preparing reports for core and project funders as required.
  • Attend staff and Finance and Audit Committee meetings, taking minutes at Audit Committee meetings
  • Administer pensions scheme and maintain records, reporting to Finance and Audit Committee. Ensure  compliance with auto-enrolment.
  • Ensure appropriate insurances are in place, reporting to Finance and Audit Committee.

Governance (15%)

  • Act as Company Secretary, co-ordinating board meetings and setting annual business schedule with Director
  • Attend board meetings and take minutes.
  • Lead on the updating of organisational policies and procedures
  • Ensure new Trustees are correctly registered and maintaining register of Trustees in accordance with company law
  • Perform any other duties as may from time to time be deemed necessary by the Director and  Board of English PEN.

Essential skills

  • Fully qualified or part qualified member of one of the major accountancy bodies
  • Relevant experience of the charitable sector and detailed knowledge of any  Statement of Recommended Practice (“SORP”) issued by the Charity Commissioners
  • Experience of using Quickbooks or similar accounting packages
  • Experience of administering Gift Aid claims


  • Experience of financial management at daily as well as company/strategic level and experience of managing numerous project budgets.
