Job purpose

We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs, taking responsibility for front of house and managing our company’s general administrative activities.

Duties and Responsibilities

  • Providing an efficient and friendly reception service including answering, and transferring calls promptly and courteously
  • Liaising with suppliers and contractors, as required
  • Distribution of incoming post and processing of out-going post
  • Taking a proactive approach in the upkeep of the office, ensuring it is a safe and inviting environment
  • Provide administrative support across the organisation, including:     
  1. Filing and archiving
  2. Photocopying and printing
  3. Updating working documents
  4. Purchasing of office supplies and equipment
  5. Recycling and shredding
  6. Ordering catering for meetings and events
  7. Booking travel and accommodation for staff
  8. Setting up of meeting rooms for larger meetings including Board of Trustee and staff meetings
  • To support the Office Operations manager on Health and Safety and IT matters
  • Any other reasonable duties as required

These duties must be carried out with due regard to Education Support Partnership’s Equal Opportunities Policy, Health & Safety procedures and undertake duties in line with the charity's, and other relevant, codes of practice.

 

PERSON SPECIFICATION

Skills and Attributes

  • Solid IT skills including Word, Excel and Outlook
  • Strong interpersonal skills with good telephone manner
  • A positive attitude and outgoing personality
  • Ability to work effectively as a team member or on own initiative
  • Ability to prioritise work and meet deadlines
  • Attention to detail
  • Good organisational skills
  • Good written and spoken English

Knowledge and Experience

  • Previous experience working in reception/administration
  • Experience of working within the voluntary sector
  • Experience of MS Office, particularly excel and word

This is a part-time role, working 22.5 hours per week, Mon-Fri 10-15,30
