The World Coal Association (WCA) is looking to appoint a Finance and Governance Manager to lead these functions within the organisation. This is a new position and an exciting opportunity to be at the heart of a transformation in how we operate. The role will report directly to the Chief Executive.

Role description

The Finance and Governance Manager will be our financial controller as it relates to budget management, cashflow and forecasting, management of new membership funding and overseeing the overall financial sustainability of the organisation. In addition to the day-to-day financial management, they will have oversight of the audit, alongside risk and corporate governance in relation to membership and the board.

Key objectives

  1. Lead and deliver WCA’s finance and governance management functions
  2. Establish and maintain smooth financial processes for the organisation
  3. Ensure that WCA is legally compliant and has sound governance
  4. Assist in developing WCA’s membership strategy and establishing efficient member processes

Responsibilities

Finance – all aspects of financial management, including but not limited to:

  • Developing and monitoring all budgets and providing financial support to the CEO and other staff
  • Producing monthly management accounts for CEO, biannual accounts for Board meetings and other management accounts/budgets as necessary
  • Preparing annual financial report and accounts ready for audit and coordinating the audit process
  • Manage transaction and membership income
  • Overseeing payment of invoices and other expenses and day-to-day book-keeping
  • Monitoring cash flow and performing regular bank reconciliations
  • Preparing the monthly payroll
  • Managing all payments to HMRC and VAT returns
  • Maintaining and developing WCA’s accounting systems, financial controls and procedures, ensuring best practice and compliance, including compliance with ‘Making Tax Digital’.

Governance & Legal Issues – the post holder will perform Company Secretary duties, alongside other key tasks to ensure best practice in how WCA functions and legal compliance, including:

  • Coordinating the Annual General Meeting and Board meetings, including drafting and editing papers, setting up meetings, liaising with Board members and writing minutes
  • Ensuring returns are sent to Companies House and HMRC as required and on time and that all WCA Directors are correctly registered
  • Overseeing WCA’s operations so that it meets its responsibilities and conducts its business in compliance with its Articles of Association
  • Ensuring WCA’s Competition Guidelines are kept up-to-date and adhered to
  • Supporting the Chief Executive in the induction of new members
  • Establishing procedures for the management of members contact details
  • Leading on the development of internal policies and procedures to ensure compliance with legal requirements and best practice, including health and safety and GDPR

Other

  • Administering WCA’s human resources function and keeping up-to-date personnel files and relevant policies (e.g. personnel, health and safety etc).
  • Assisting the CEO in developing and implementing an effective membership strategy
  • Overseeing WCA’s employee pension scheme, ensuring WCA meets all legal requirements
  • Overseeing contracted services and review the efficiency and cost-effectiveness of WCA’s operations, including IT systems
  • Providing general support and advice to the CEO and other members of staff

Experience

  • Professional accountancy qualification
  • Solid experience of producing statutory accounts and working with auditors
  • Experience of managing all finance functions for a small to medium-sized organisation, including direct hands-on experience of SAGE (or similar) financial system
  • Experience of running an in-house payroll and good working knowledge of PAYE and NIC
  • Experience of governance and carrying out Company Secretary duties
  • Outstanding attention to detail and accuracy
  • Excellent written and verbal communication skills
  • Proven ability to work flexibly as part of a small team.
  • Ability to act with discretion and sensitivity in dealing with confidential matters

Terms

This is a full-time role (37.5 hours) with a salary range of £48,000-£52,000, plus up to 7.5% employer pension contribution. The starting salary will be dependent on experience and qualifications.

While this is a full-time role, WCA operates a flexible working environment.

Normal leave entitlement is 25 days, plus bank holidays and additional days at Christmas.
