As part of the Research, Policy and Standards (RPS) team, this brand-new role reporting to the Stakeholder Engagement Manager will see you providing the best administration support to the effective and efficient day-to-day operation of the Institute's events, research, PR and external communications activity. This role would suit a highly organised individual with experience in events administration and support. The successful Events and Research Administrator will be joining the company at an exciting period of growth and will receive a great range of benefits.

Working hours: 30-35 hours per week (to be agreed with the successful applicant).  Term time only (36-weeks)  The role is office based but we are open to some homeworking 


  • Support the Institutes events activities in managing the events and webinars programme through the creation and distribution of events listing pages online and contacting speakers when required
  • Manage the event set-up and tear-down of event collateral and follow ups
  • Coordinate with vendors, exhibitors and stakeholders during event planning in supporting the smooth running of events
  • Manage delegate listings at events to support the Institute's events and research activity
  • Track key performance areas to provide statistical reporting on RPS team's activity and support the identification of items to work on for future events
  • Work with events and research partners and internal/ external stakeholders to develop the Institute's research and events activity
  • Provide administrative support for networking, research events and team meetings, raising purchase orders and organising travel arrangements when necessary for approval
  • Responsible for the accurate publication of events promotion and ensuring that internal and external communications with delegates, team members and event partners are timely, relevant and of high quality
  • Support the RPS team as a first point of contact for inbound enquiries, pre-qualifying opportunities before progressing to relevant team member
  • Coordinate delegate and guest management at Institute events, including delegate registration enquiries via email and telephone and provide on-site support to the Stakeholder Engagement Manager
  • Work collaboratively with the RPS team to create and update data, information, documents and processes to support events and research activity outputs
  • Ensure data for the events pipeline is maintained on CRM, reporting on outcomes and results
  • Collate and despatch events packs and materials and arrange transportation of event equipment to venues
  • Manage stock of reports, other publications and events collateral, as well as events equipment and arranging replenishment when required
  • Support the RPS team in proof reading of events material prior to use at events, referring any queries as necessary
  • Actively promote the Institute's brand and values
  • Any other duties that may be required for the successful performance on the role

The post holder will be required to attend events in the UK, which may occasionally involve an overnight stay and additional working hours due to the events nature of the role.

Key Skills and Experience

  • Previous experience working in an events administration role
  • Bachelors degree in hospitality management, business or related discipline with an understanding and appreciation of the research process
  • Able to build professional and collaborative relationships with a wide range of external and internal stakeholders
  • Proof reading and editing skills
  • Webinar experience, web administration and updating websites
  • Excellent written and verbal communication skills - able to communicate at all levels and effectively pass on information to others
  • Able to work collaboratively, independently and unsupervised
  • As strong team player and contributor
  • Thrives on working in a busy environment and understands and takes pride in their vital role in relation to the success of the team
  • Experience of CRM, MS office and good all-round IT skills are essential
  • Knowledge of social media as a tool for events promotion and follow-up
  • Experience of producing Powerpoint and Prezi presentations
  • Strong organisational skills, able to plan and handle more than one project at a time, prioritising work to ensure deadlines are met
